This Privacy Policy explains how MAILSOAR collects, uses and protects the personal data of visitors to the website www.mailsoar.com (hereinafter the “Website”) and of its prospects and customers, in accordance with the EU General Data Protection Regulation 2016/679 (“GDPR”) and applicable French data protection laws.

1. Data controller

The data controller is MAILSOAR, a limited liability company (SARL) registered with the Lyon Trade and Companies Register under number 884 139 544, whose registered office is located at 558 Chemin du Panorama, 69300 Caluire-et-Cuire, France. For more details, please refer to our Legal Notice.

2. Personal data we collect

  • Data you provide: when you fill in a contact form, book a meeting, subscribe to our newsletter or contact us (e.g. first name, last name, business email address, company, job title, phone number and the content of your message);
  • Data collected automatically: when you browse the Website, subject to your consent (e.g. IP address, browser and device information, pages visited, traffic source and interactions with our content).

3. Purposes and legal bases

  • Answering your requests and organizing meetings – pre-contractual measures or legitimate interest;
  • Providing our services and managing our customer relationship – performance of a contract;
  • Sending our newsletter and marketing communications – consent, or legitimate interest for existing customers;
  • Measuring the audience of the Website and improving our content and advertising campaigns – consent;
  • Complying with our legal and accounting obligations – legal obligation.

4. Recipients and service providers

Your personal data is intended for MAILSOAR’s authorized team members. It may also be processed by our service providers, acting on our behalf, strictly for the purposes described above, in particular: HubSpot (CRM, forms, meetings and newsletter), o2switch (Website hosting), Google, Microsoft, LinkedIn, Meta, Reddit and ClickCease (audience measurement, advertising and click-fraud protection).

MAILSOAR never sells your personal data.

5. Transfers outside the European Union

Some of our service providers may process data outside the European Economic Area, in particular in the United States. In such cases, transfers are governed by appropriate safeguards, such as the EU–U.S. Data Privacy Framework or the European Commission’s Standard Contractual Clauses.

6. Data retention

  • Prospect data: 3 years from our last contact with you;
  • Customer data: for the duration of our business relationship, then for the period required by applicable law (in particular 10 years for accounting documents);
  • Cookies and similar trackers: 13 months maximum; your cookie choices are kept for up to 6 months.

The Website uses cookies and similar trackers. Some are strictly necessary for the Website to function; others, used for audience measurement and advertising, are only placed with your consent, which you can give, refuse or withdraw at any time through our cookie banner (Axeptio).
